Chisenhale Dance Space asks for all hirers and the general public to read and agree to our below Booking Terms, Cancellation policy, Hirers and Health and Safety Protocols prior to their visit to the building.

CDS Accountable Space Principles

Booking Terms

Booking Times

  • You may only access the studio you have booked during your agreed booking times. This includes all set-up and pack-away time. 
  • If the hire exceeds the booked times, you will be charged the pro-rata hourly rate to the nearest 15 minutes.
  • We hire our space out in 1 hour increments, and all bookings must start and finish on the hour.

Accessing the Building

  • You will receive a door code in advance of your booking which will be active 30 minutes before until 30 minutes after your booking.
  • This code is used for both doors (the outside entrance and the upstairs door. 
  • It is your responsibility to share the door code with any other people in your booking. Entry to the building is only via door code, you must not prop doors open as this poses a security risk. 
  • If you have booked multiple dates you will receive a different code for each date.

Technical Support

  • If you require technical support (e.g. use of the projector, lighting equipment, other technical equipment) this must be agreed via email at least 4 weeks prior to your booking and will incur additional costs. 
  • Use of our technical resources requires a £10 contribution to the CDS tech fund, which helps us to maintain our equipment.
  • For advanced technical support including stage lighting, you must book one of our house technicians (£25/hr) with timings agreed via email based on your booking.
  • Any usage of CDS technical equipment (including theatre lightning) without prior permission is strictly prohibited. Any improper or unauthorised usage is  dangerous and could cause a fire hazard. You may be asked to leave the studio, and banned from further hires, if this is not followed.

Storage

  • If you require storage this must be agreed via email prior to your booking and may incur additional costs.

Maintaining Our Studios

  • Please ensure that you leave the studios and communal areas clean and tidy, closing all windows and turning off all electrical appliances. 
  • If you find that another hirer has left the space in an unsatisfactory condition, email us at spacehire@chisenhaledancespace.co.uk
  • If additional cleaning is required, or if there is any damage to the studios this may incur additional cost.

Booking online / via email

  • Bookings are only confirmed once a booking confirmation form has been  completed and an invoice has been raised. For bookings that require a deposit, the deposit must be paid.
  • We are unable to hold or pencil bookings. 
  • We reserve the right to refuse access to the space if payment has not been made in advance.
  • If booking online,  hirers will be asked to pay by card at the point of booking and a digital receipt will be sent.
  • If booking via email, an invoice is raised as soon as a booking is agreed in writing via email, and a digital receipt is sent upon payment. 

Large or recurring hires

  • Large hire – a hire of over 30 hours in a 7 day period. 
  • Recurring hire – a regular hire that takes place over several weeks/termly e.g weekly classes or workshops
  • A 20% non-refundable deposit is required to secure a large or recurring hire.
  • Full payment is due in advance of the hire taking place.  
  • Payment plans may be offered at CDS Staff’s discretion. 

Cancellation Policy

Once an invoice has been raised the following booking cancellation policy will apply:

Bookings made online / via email

  • If a booking is cancelled more than two weeks in advance, you may request a 80% refund or credit transferred to a future booking. If you choose to transfer credit to a future booking, this must be booked at the time of cancellation.
  • If a booking is cancelled less than two weeks in advance, there are no refunds, amendments, or transfers to your booking available.
  • Please note that bookings at our Last Minute Rate are non-refundable and non-transferable.

Large or recurring hires 

  • If a booking is cancelled more than 4 weeks in advance, you may request a 80% refund.
  • If a booking is cancelled between 2 to 4 weeks in advance, you may request a 50% refund.
  • If a booking is cancelled less than 2 weeks in advance, there are no refunds or amendments to your booking available.

We understand that last minute changes may need to happen, and we will do our utmost to consider any extenuating circumstances. However, because of the small scale of our operations, we cannot guarantee this on every occasion. If this applies to your booking, please email spacehire@chisenhaledancespace.co.uk to discuss further.

CDS is not able to offer any refunds outside of these terms unless the building is forced to close. CDS will endeavour not to cancel bookings once they are confirmed and paid for by the hirer. However, in the event the space hired becomes unusable as a result of any mechanical breakdown, fire, flooding, explosion, strike or act, CDS retains the right to cancel confirmed bookings.

Hirers Protocol

By hiring our studios, you agree to the following protocols. Please read and understand them before booking.

On the Day of Your Booking

  • Cleanliness: Leave the studios clean and tidy. Close all windows and turn off all electrical appliances. If additional cleaning is required or there is any damage, additional costs may be incurred.
  • Footwear: No shoes may be worn in the studios unless pre-arranged. Extra charges apply for cleaning or floor repairs due to inappropriate footwear.
  • Personal Belongings: Do not leave items in the room unless agreed with CDS Staff.
  • Food and Drinks: Only drinks in bottles are allowed in the dance studios. Food and drinks can be consumed in the communal lounge or kitchen.
  • Wi-Fi: Free Wi-Fi is available. Check signage for login details.
  • Noise: Leave the premises quietly when rehearsing late to respect our neighbours. There is strictly no noise allowed after 10pm.
  • Smoking: No smoking in the building or fire exits. Use the designated smoking area at the front of the building.
  • Access Requirements: We encourage hirers to read our Visit page, and email spacehire@chisenhaledancespace.co.uk about any access requirements.

Usage of Technical Equipment 

  • Improper and unauthorised usage: Any usage of CDS technical equipment (including theatre lightning) without prior permission is strictly prohibited. Any improper or unauthorised usage is  dangerous and could cause a fire hazard. You may be asked to leave the studio, and banned from further hires, if this is not followed.

Safeguarding Children, Young People, and Vulnerable Adults

  • Safeguarding Policy: In line with our Safeguarding Policy (available on our website), children under the age of 18 must be always accompanied by a responsible adult; when attending a class or rehearsal this may be the teacher or organiser. When space is booked for use with children under 16, CDS requires a chaperone ratio of at least one adult per 10 children. Outside of classes or rehearsals parents must accompany their children in all areas of the building. Any hirer working with children or vulnerable adults must have a Safeguarding Policy in place in relation to this work and must provide a copy if requested.

Filming and Photography

  • Filming & Photography: CDS is an Artist Community-led organisation, with a clear vision and mission. As such, CDS ensures that all images and film of the spaces in the building fit with this mission and vision. Film or photographs taken should only be for personal use and should not be reproduced in any form, including digitally without permission. Please seek permission in advance to film or photograph the studios for commercial purposes. 

Health and Safety Protocols

First Aid:

You are responsible for ensuring that no activity takes place that might endanger the general health and safety of any person present in the building. If you are involved in higher risk activities on the premises where injury or damage may be possible you must provide us with a Risk Assessment and appropriate liability insurance in advance.

Any accident, incident, or near miss, however minor, should be reported to reception immediately or by calling CDS’s emergency number on 020 8191 0305. We ask that all visitors take reasonable care of their own health and safety and the welfare of others when using the studios. If you or a collaborator suffer an injury or are taken ill at CDS, please give them immediate attention and call 999 in serious cases. A First Aid kit is available in each studio

Remote Access: 

CDS is now operating a key code entry system. You will receive an individual access code via email for your allotted time. You will need to enter your code at the downstairs Purple Door and upstairs White Door. Follow the access instructions below: 

  • To unlock the door, enter your access code followed by the “#” key. The doors lock automatically behind you.

Contact CDS Staff if you have any problems accessing the building.

Cleaning:

Regular cleaners will be entering the building to keep the studios, public areas, surfaces and toilets clean.

Fire Emergency Plan: 

Fire Escapes: The fire exits consist of the main staircase entry and the external fire escape from CDS’s Performance studio. These exits must be kept clear at all times, please do not obstruct them. 

On discovery of a fire: activate the alarm, ring 999, leave the building by the nearest available exit route and proceed to the assembly point across the road at school gates on Chisenhale Road. Do not attempt to extinguish the fire.

On hearing the fire alarm: leave the building by the nearest available exit route and proceed to the assembly point across the road at the school gates on Chisenhale Road.

Do not re-enter the building until the emergency services advise it is safe to do so. A short fire alarm test will take place every Thursday. Please evacuate the building if it doesn’t turn off after 10 seconds.

Gas Emergency: Call National Grid immediately on 0800 111 999 if you smell/suspect a gas leak or the carbon monoxide alarms are beeping.
